Lynas Corp is an Australian, ASX-listed rare earths mining company. Its core business is building the world's only integrated supply system of rare earths from mine to customers.
Rare earths are a unique group of fifteen chemical elements. Their physical properties support low energy consumption. Rare earths are used to make automotive catalytic converters, hybrid vehicles, wind turbines and energy efficient compact fluorescent light bulbs. They are also used in miniaturised technology, to meet global demand for faster, smaller and lighter products.
In 2008, Lynas successfully mined Mount Weld in Western Australia, the richest known deposit of rare earths in the world. Lynas is currently in production mode. Ore is processed at its Mount Weld Concentration plant, and further refined at its Advanced Materials Plant in Pahang, Malaysia.
Lynas strives for quality and consistency in all parts of its operations, with particular emphasis on health and safety, and protection of the environment.
Although the company was performing well, operational quality was at risk. Employees had literally given up on the current project management system which was a hosted environment that meant we were unable to change or integrate it into our ERP system. It was seen by most as 'too complex and time-consuming.' Email was being used to share and retrieve project information. Without a formal process for management approval of projects, organisational effort could be delayed, or could even start to stray from strategy.
Gill Kidson, C.I.O at Lynas Corp, says, "We knew we could be far more efficient with a solid enterprise project management solution. You hear so many stories about bad project management software. Our challenge was to find a system that users would truly appreciate."
Project visibility for executives and project sponsors was poor, and critical documents had no central home. Retrieval of information was slow, and roll-up reports were delayed. This impacted future project selection; data from previous projects is essential to strategic decision-making.
Kidson adds, "With Lynas Corp moving into full production mode, it was more important than ever shore up our project management."
Novo IT Solution
Novo IT ran investigative workshops to clarify current issues, and deliverables for a new EPM solution.
"It came through loud and clear that we needed to involve users at every stage of design.
Novo IT was very thorough, and worked continuously with our project management staff," says Kidson.
Novo IT recommended Microsoft Project Server, and developed a proof of concept. This was reviewed once again with main users. Their feedback informed final system requirements, and fed into the business case. All business requirements and functional documents were signed off before development began. This ensured that deliverables were clearly defined and understood by Lynas.
Novo IT developed a customised Project Server solution. This was submitted to Lynas for further user acceptance testing. Feedback was used to fine-tine the EPM.
Kidson adds, "I was impressed by

Novo IT provides ongoing support and maintenance for Lynas' new EPM solution.

Project approval is now faster and easier. Document Management Processes and Control to Project Documentation enable rapid information retrieval and efficient project monitoring. Reporting time has been slashed from two weeks to less than two hours. Lynas executives and project sponsors are now privy to project data and strategic insights that they did not previously have.
